1. Documents that are mandated by law:

FACTA - Fair and Accurate Credit Transactions Act: The Fair and Accurate Credit Transactions Act of 2003, also known as the FACT Act, was signed into law on December 4, 2003. The Act contains a number of provisions intended to combat identity theft and consumer fraud and related crimes. The act requires the destruction of papers containing consumer information. This law binds virtually every business or organization.

 

HIPPA - Health Insurance Portability and Accountability Act: Health Insurance Portability and Accountability Act of 1996 (revised by Congress in 2000) is a federal law that governs the handling of confidential medical and personal information and records. Civil and Criminal penalties, as well as fines, may result from the inadvertent disclosure of personal information. All company's that handle medical and personal information must be in compliance with the federal standards by April of 2003.

 

Gramm-Leach-Bliley Act (GLB) - Financial: Gramm-Leach-Bliley Act of 1999, which went into effect in July of 2002, governs the handling of all personal information. Much broader in scope than HIPPA, this law was designed to compel financial institutions to "respect the privacy of its customers" and mandates that all financial institutions establish procedures for protecting personal information, including the protection of discarded information.

 

Sarbanes-Oxley Act of 2002: Also known as the Public Company Accounting Reform and Investor Protection Act of 2002. Among the Sarbanes-Oxley Act’s major provisions in one that includes a requirement those public companies evaluate and disclose the effectiveness of their internal controls. It is generally this requirement that gives attention to the need for companies to have detailed information control systems – including secure disposal of obsolete business records.

 

Family Educational Rights and Privacy Act (FERPA): Improper disposal of student records may constitute an unauthorized disclosure under FERPA.

Do you offer one time shredding purge?

Yes. we do!

This scheduled or one time shredding service is designed for clients who regularly generate sensitive documents that need to be destroyed securely. For the client’s convenience and security, our company provides a variety of sizes and types of lockable bins to fit your specific needs. Once the bins are placed at the client’s facility(s), a schedule is determined of how often the bins need to be emptied.

 

Shredding service visit frequencies are normally set by weeks such as every 1, 2, 4, 6 or 8 weeks. Clients can also call us as needed. Our shredding truck will then appear at the client’s site on the prescheduled dates to service the bins and completely destroy their paper contents.

 

A certificate of destruction is mailed to clients after each shredding service visit. It reflects the date and the amount of shredding done, and also serves as proof that the sensitive information was destroyed beyond reconstruction and disposed of securely in an environmentally friendly manner. All the recyclable paper shreds are then taken to a recycling center to be turned into new material.

What is the difference between Off-Site Vs On-Site Shredding?

This is a question that gets asked all the time, the answer is simple! The difference between having your documents shredded off-site and having them shredded on-site by at truck at your place or residence is simply cost! Off-site shredding allows for high capacity industrial shredder to to do hundreds of pounds a minute while a truck has a limited capacity and the service is very labor intence. You are looking at 35 to 60% more cost!  Take a look at both shredding services:

A while Back, we decided to do some spring cleaning in our home office in Newton MA. After sorting through and organizing our bookshelves, closets, and desks, we ended up with with several hefty binders full of old documents and paper statements that still needed to be shredded. After going through everything and deciding what we needed to keep and what we need to shred, we were left with a large volume of documents that was too much for our "professional shredder" This machine was rated to shred 20 pages at a time but in reality it is 2 pages at a time! Plus the many headaches that come with it such as noise, dust, overheating and wasted time!

After a quick Google search for document shredding service near Boston MA, I found out that most home office stores - like Staples and Office Depot - offer shredding services for a small fee. Staples is closest to us, so that's where we decided to go. According to their website, any Staples with a Copy & Print Location will offer shredding services. We called ahead and were told that they charge by the pound (79 cents/lb of paper). We went through our two big piles of "to-be-shredded" paper and pulled out anything that didn't have personal information in it. That was tossed into our regular recycling bin at home. The rest we hauled to Staples but was not confident that our documents would be kept secure and here why:

 

  • Staples and other big box stores offer document shredding as another mean to get revenue, it is not their bread and butter and they hire 3rd party to do the service so document custody is an issue here because who knows how many hands will be involved from time of document drop off to shredding.
  • The staff is is not vetted on regular basis, the criminal background checks are done at the hiring stage and not on regular basis as required by most professional shredding service companies.
  • Our documents were to be left in a 96 gallon bin that we have no idea how ofter it would be shredded or have access to it, other customers may reach out and get my documents. Who knows!
After a little more research I discovered Neighborhood Parcel of Tewksbury MA, they offered the security and peace of mind we were looking for, they took full custody of our documents and ensured that the shredding is done at the end of day and provided us with a Notarized certificate of destruction. The biggest thing I was worried about was how secure the whole process would be. Identity theft isn't exactly my favorite thing in the world. But - good news! The process is entirely secure. And they do it right in front of you so you can see for yourself that all of the paper goes into the limited access location backed by 24/7 camera surveillance.

 

So - handy tip in case you've got a bunch of paper you need to have shredded and you are short one personal shredder at home! I was this close to throwing a bonfire... We can all agree that storing your old documents and financial records in attics or basements is a risky proposition.  We realize that for economic and other space management reasons some companies and area residents cross their fingers and do just that. Well sadly and unfortunately for many companies their luck may run out with Hurricanes and winter weather conditions that brings in flood.  To be fair, Hurricane Sandy for example flooded places that have never seen water before.

 

What to do with wet boxes -The challenge is determining how and if wet paper records can be restored or disposed of properly. Record retention schedules will indicate what records need to be kept for legal reasons and what other documents need to be kept for business continuity reasons.  Also, it’s not a bad time to add that Disaster Recovery plan why we’re at it! When wet records cannot be salvaged and need to be destroyed, make sure to make a complete inventory of the records along with documentation noting the condition of the records, the date of destruction and the name of the service destroying the records.  At Neighborhood Parcel we believe that whenever possible, a business should have full documentation of the circumstances and decision-making process in the event that issues arise later.

 

OMG! Moldy Records - Mold from wet paper records is a problem, usually a few days before mold starts, but please act as quickly as possible… don’t wait.  Mold poses a health risk to the business’ employees and customers as well as the document destruction company’s employees handling the records. We suggest wet, mold-laden records be handled with extreme caution.  Certainly do not panic, but make sure to secure and stabilize the room(s) containing the wet records, whether you’re keeping them or not.  Once the source of any water has subsided to safe levels, reduce humidity and increase air circulation to reduce the spread of mold. The worst option is doing nothing. There are many potential problems leaving soaked records around to dry on their own. As far as restoration, the most effective way to restore water damaged documents is through 'true' freeze drying using a technigue called sublimation. Sublimation changes the frozen water in the documents (ice) to a vapor, bypassing the liquid state. This method also reduces the stains and odors the documents may have obtained. This can be a costly method of recovering your documents, but for non replaceable items it is usually worth the expense and the most effective solution.

Can I do this restoration myself - Yes, you can… especially if you have a small amount of wet boxes. First, make sure to remove all the paper documents out of the wet cardboard boxes.  Becareful picking up the wet boxes… not only are they heavy due to the wetness, but typically the bottoms will fall out.  Trash the boxes as they will no longer be good, even after they dry out. Next, you should remove all paper clips, metal fasteners and binders to help prevent any rust from forming.  Spread out the files on absorbent material that will remove moisture, and keep constant air flowing over the paper.  Turn the pages over every once in a while to assure even drying.  Once completely dry, rebox the documents into new dry cardboard boxes.

 

Our Recommendations - If you have a legal obligation to securely destroy confidential files such as patient records or credit reports, that obligation will still apply to you, even if the records got wet.  The laws regarding secure destruction do not get relaxed or lifted after a natural disaster.  We recommend that you proactively notify any relevant government agencies by Certified Mail of the need to destroy flood damaged records and if you have any questions, please consult your attorney for legal guidance about destroying records before their scheduled time.

A while Back, we decided to do some spring cleaning in our home office in Newton MA. After sorting through and organizing our bookshelves, closets, and desks, we ended up with with several hefty binders full of old documents and paper statements that still needed to be shredded. After going through everything and deciding what we needed to keep and what we need to shred, we were left with a large volume of documents that was too much for our "professional shredder" This machine was rated to shred 20 pages at a time but in reality it is 2 pages at a time! Plus the many headaches that come with it such as noise, dust, overheating and wasted time!

After a quick Google search for document shredding service near Boston MA, I found out that most home office stores - like Staples and Office Depot - offer shredding services for a small fee. Staples is closest to us, so that's where we decided to go. According to their website, any Staples with a Copy & Print Location will offer shredding services. We called ahead and were told that they charge by the pound (79 cents/lb of paper). We went through our two big piles of "to-be-shredded" paper and pulled out anything that didn't have personal information in it. That was tossed into our regular recycling bin at home. The rest we hauled to Staples but was not confident that our documents would be kept secure and here why:

 

  • Staples and other big box stores offer document shredding as another mean to get revenue, it is not their bread and butter and they hire 3rd party to do the service so document custody is an issue here because who knows how many hands will be involved from time of document drop off to shredding.

We can all agree that storing your old documents and financial records in attics or basements is a risky proposition.  We realize that for economic and other space management reasons some companies and area residents cross their fingers and do just that. Well sadly and unfortunately for many companies their luck may run out with Hurricanes and winter weather conditions that brings in flood.  To be fair, Hurricane Sandy for example flooded places that have never seen water before.

 

What to do with wet boxes -The challenge is determining how and if wet paper records can be restored or disposed of properly. Record retention schedules will indicate what records need to be kept for legal reasons and what other documents need to be kept for business continuity reasons.  Also, it’s not a bad time to add that Disaster Recovery plan why we’re at it! When wet records cannot be salvaged and need to be destroyed, make sure to make a complete inventory of the records along with documentation noting the condition of the records, the date of destruction and the name of the service destroying the records.  At Neighborhood Parcel we believe that whenever possible, a business should have full documentation of the circumstances and decision-making process in the event that issues arise later.

 

OMG! Moldy Records - Mold from wet paper records is a problem, usually a few days before mold starts, but please act as quickly as possible… don’t wait.  Mold poses a health risk to the business’ employees and customers as well as the document destruction company’s employees handling the records. We suggest wet, mold-laden records be handled with extreme caution.  Certainly do not panic, but make sure to secure and stabilize the room(s) containing the wet records, whether you’re keeping them or not.  Once the source of any water has subsided to safe levels, reduce humidity and increase air circulation to reduce the spread of mold. The worst option is doing nothing. There are many potential problems leaving soaked records around to dry on their own. As far as restoration, the most effective way to restore water damaged documents is through 'true' freeze drying using a technigue called sublimation. Sublimation changes the frozen water in the documents (ice) to a vapor, bypassing the liquid state. This method also reduces the stains and odors the documents may have obtained. This can be a costly method of recovering your documents, but for non replaceable items it is usually worth the expense and the most effective solution.

Can I do this restoration myself - Yes, you can… especially if you have a small amount of wet boxes. First, make sure to remove all the paper documents out of the wet cardboard boxes.  Becareful picking up the wet boxes… not only are they heavy due to the wetness, but typically the bottoms will fall out.  Trash the boxes as they will no longer be good, even after they dry out. Next, you should remove all paper clips, metal fasteners and binders to help prevent any rust from forming.  Spread out the files on absorbent material that will remove moisture, and keep constant air flowing over the paper.  Turn the pages over every once in a while to assure even drying.  Once completely dry, rebox the documents into new dry cardboard boxes.

 

Our Recommendations - If you have a legal obligation to securely destroy confidential files such as patient records or credit reports, that obligation will still apply to you, even if the records got wet.  The laws regarding secure destruction do not get relaxed or lifted after a natural disaster.  We recommend that you proactively notify any relevant government agencies by Certified Mail of the need to destroy flood damaged records and if you have any questions, please consult your attorney for legal guidance about destroying records before their scheduled time.

A while Back, we decided to do some spring cleaning in our home office in Newton MA. After sorting through and organizing our bookshelves, closets, and desks, we ended up with with several hefty binders full of old documents and paper statements that still needed to be shredded. After going through everything and deciding what we needed to keep and what we need to shred, we were left with a large volume of documents that was too much for our "professional shredder" This machine was rated to shred 20 pages at a time but in reality it is 2 pages at a time! Plus the many headaches that come with it such as noise, dust, overheating and wasted time!

After a quick Google search for document shredding service near Boston MA, I found out that most home office stores - like Staples and Office Depot - offer shredding services for a small fee. Staples is closest to us, so that's where we decided to go. According to their website, any Staples with a Copy & Print Location will offer shredding services. We called ahead and were told that they charge by the pound (79 cents/lb of paper). We went through our two big piles of "to-be-shredded" paper and pulled out anything that didn't have personal information in it. That was tossed into our regular recycling bin at home. The rest we hauled to Staples but was not confident that our documents would be kept secure and here why:

 

  • Staples and other big box stores offer document shredding as another mean to get revenue, it is not their bread and butter and they hire 3rd party to do the service so document custody is an issue here because who knows how many hands will be involved from time of document drop off to shredding.
  • The staff is is not vetted on regular basis, the criminal background checks are done at the hiring stage and not on regular basis as required by most professional shredding service companies.
  • Our documents were to be left in a 96 gallon bin that we have no idea how ofter it would be shredded or have access to it, other customers may reach out and get my documents. Who knows!
After a little more research I discovered Neighborhood Parcel of Tewksbury MA, they offered the security and peace of mind we were looking for, they took full custody of our documents and ensured that the shredding is done at the end of day and provided us with a Notarized certificate of destruction. A while Back, we decided to do some spring cleaning in our home office in Newton MA. After sorting through and organizing our bookshelves, closets, and desks, we ended up with with several hefty binders full of old documents and paper statements that still needed to be shredded. After going through everything and deciding what we needed to keep and what we need to shred, we were left with a large volume of documents that was too much for our "professional shredder" This machine was rated to shred 20 pages at a time but in reality it is 2 pages at a time! Plus the many headaches that come with it such as noise, dust, overheating and wasted time!

After a quick Google search for document shredding service near Boston MA, I found out that most home office stores - like Staples and Office Depot - offer shredding services for a small fee. Staples is closest to us, so that's where we decided to go. According to their website, any Staples with a Copy & Print Location will offer shredding services. We called ahead and were told that they charge by the pound (79 cents/lb of paper). We went through our two big piles of "to-be-shredded" paper and pulled out anything that didn't have personal information in it. That was tossed into our regular recycling bin at home. The rest we hauled to Staples but was not confident that our documents would be kept secure and here why:

 

  • Staples and other big box stores offer document shredding as another mean to get revenue, it is not their bread and butter and they hire 3rd party to do the service so document custody is an issue here because who knows how many hands will be involved from time of document drop off to shredding.
  • The staff is is not vetted on regular basis, the criminal background checks are done at the hiring stage and not on regular basis as required by most professional shredding service companies.
  • Our documents were to be left in a 96 gallon bin that we have no idea how ofter it would be shredded or have access to it, other customers may reach out and get my documents. Who knows!
After a little more research I discovered Neighborhood Parcel of Tewksbury MA, they offered the security and peace of mind we were looking for, they took full custody of our documents and ensured that the shredding is done at the end of day and provided us with a Notarized certificate of destruction. We paid 89¢ / lbs, a little more than Staples or FedEx Office but we received a professional shredding service that was worth it.

The biggest thing I was worried about was how secure the whole process would be. Identity theft isn't exactly my favorite thing in the world. But - good news! The process is entirely secure. The employees take your paper and put it into a secure location inside the store. And they do it right in front of you so you can see for yourself that all of the paper goes into the limited access location backed by 24/7 camera surveillance.

 

So - handy tip in case you've got a bunch of paper you need to have shredded and you are short one personal shredder at home! I was this close to throwing a bonfire... What is Massachusetts Privacy Law?

 

Massachusetts Privacy Laws Requiring Document Destruction 201-CMR-17

Published by Document Shredding in Document ShreddingMassachusetts privacy law calls for tighter information security.

November 25th, 2008[NOTE: New information is available at this link about the Massachusetts Privacy Law, which has evolved since this original The Commonwealth of Massachusetts enacted a law in September protecting state citizens’ personal information. Originally scheduled for January 1, 2009, the law will now take effect for all Massachusetts businesses and third party providers beginning May 1, 2009, with other requirements coming into effect January 1, 2010. The law intends to protect employee personal information from unauthorized access and possible exploitation.

Personal information to be protected includes a person’s name and address, combined with complete social security number, driver’s license or other state-issued number, complete credit card or bank account numbers.

Companies that do keep this information will need to take some prescribed steps towards compliance. They must:

1. Establish written policies and procedures for the protection of these files, both in the electronic and physical formats.

2. Be able to justify the need for all such information kept in house. Obviously employee data is needed to for tax, 401K, and insurance withholdings. But for client records is it possible to only maintain the last four digits of a credit card number?

3. Establish robust user password requirements for the designated employee(s) to gain access to these files.

• The most complex, frequently changed password complexities possible should be in place for employees accessing this data.

• Companies need to review who can access these now protected files.

• It is advised to minimize the number of staff who would have this access.

• Companies should also consider implementing auditing tools that track who, when and what personal information was accessed.

4. Put in place a personal information security officer responsible for maintaining, updating and training company employees about personal information protection policies.

5. Make sure disciplinary measures for violations are in place.

6. Maintain hard copy files of personal information in always-locked files, with only the most minimum of access by designated employees.

7. Have in place enterprise security tools, firewalls, then server and workstation malware and antivirus protection, which are current and can be automatically updated on a regular basis.

8. Consider outsourcing this risk whenever possible – for example, transferring the responsibility for maintaining employee personal information to a certified online personal records service provider. Consider using a certified credit card processing service, with your company only inputting, but not able to record, client credit card information. 3rd party certifications for 201 CMR 17.00 must be in place before January 1st 2010.

9. Ensure that any electronic communication of this protected data, whether wireless or online, be conducted using robust encryption.

10. Ensure that any storage of this protected data on laptops be robustly encrypted by May 1, 2009. Protected data stored on PDA’s, memory sticks, CDs or other portable devices must be encrypted by January 1 2010.

11. Minimize the amount and the duration of time personal information is stored. Companies should regularly review the protected data it maintains and purge all but what was absolutely necessary to keep on file.

Security threats continue to rise, and lost information can be devastating to companies and can be an indicator that fraud is being perpetrated. As the new Massachusetts law dictates, companies who hold such information will have to take appropriate measures to safeguard privacy.

Our staff can do the work for you 7 days a week at a low affordable hourly rate, currently we charge $75 / Hr (1 Hr Minimum per person) to relocate boxes to ground level. 

Moving heavy boxes up and down an attic or basement can be risky to the safety of our employees and we reserve the rights to decline service if conditions are not safe.

Is all paper recycled the same way?

Yes and no. Paper consists of fibers. The longer the fiber, the more valuable the paper is during the recycling process. As paper is recycled over and over, the fibers become shorter and must be downcycled into tissue or toilet paper. While these materials are still valuable, they aren’t as valuable as strong, white office paper with long fibers.

The EPA identifies five basic paper grade categories: Old corrugated containers, mixed paper, old newspapers, high grade deinked paper and pulp substitutes. All of these paper grades are recycled in a similar manner (mixing with water to form a slurry), but each has its own ideal end-use. For example, old newspaper is usually used to make tissue or recycled-content newsprint, while high grade paper is reprocessed into products like printing and writing papers.

What is Certificate Of Destruction?

The "certificate of destruction", as it is commonly referred, is an important legal record of compliance with a retention schedule. This certificate should be kept in your files for proof of compliance. It does not, however, effectively transfer the responsibility to maintain the confidentiality of the materials to the contractor.

We can issue a Notarized Certificate of Destruction upon job completion. A while Back, we decided to do some spring cleaning in our home office in Newton MA. After sorting through and organizing our bookshelves, closets, and desks, we ended up with with several hefty binders full of old documents and paper statements that still needed to be shredded. After going through everything and deciding what we needed to keep and what we need to shred, we were left with a large volume of documents that was too much for our "professional shredder" This machine was rated to shred 20 pages at a time but in reality it is 2 pages at a time! Plus the many headaches that come with it such as noise, dust, overheating and wasted time!

After a quick Google search for document shredding service near Boston MA, I found out that most home office stores - like Staples and Office Depot - offer shredding services for a small fee. Staples is closest to us, so that's where we decided to go. According to their website, any Staples with a Copy & Print Location will offer shredding services. We called ahead and were told that they charge by the pound (79 cents/lb of paper). We went through our two big piles of "to-be-shredded" paper and pulled out anything that didn't have personal information in it. That was tossed into our regular recycling bin at home. The rest we hauled to Staples but was not confident that our documents would be kept secure and here why:

 

  • Staples and other big box stores offer document shredding as another mean to get revenue, it is not their bread and butter and they hire 3rd party to do the service so document custody is an issue here because who knows how many hands will be involved from time of document drop off to shredding.
  • The staff is is not vetted on regular basis, the criminal background checks are done at the hiring stage and not on regular basis as required by most professional shredding service companies.
  • Our documents were to be left in a 96 gallon bin that we have no idea how ofter it would be shredded or have access to it, other customers may reach out and get my documents. Who knows!

We can all agree that storing your old documents and financial records in attics or basements is a risky proposition.  We realize that for economic and other space management reasons some companies and area residents cross their fingers and do just that. Well sadly and unfortunately for many companies their luck may run out with Hurricanes and winter weather conditions that brings in flood.  To be fair, Hurricane Sandy for example flooded places that have never seen water before.

 

What to do with wet boxes -The challenge is determining how and if wet paper records can be restored or disposed of properly. Record retention schedules will indicate what records need to be kept for legal reasons and what other documents need to be kept for business continuity reasons.  Also, it’s not a bad time to add that Disaster Recovery plan why we’re at it! When wet records cannot be salvaged and need to be destroyed, make sure to make a complete inventory of the records along with documentation noting the condition of the records, the date of destruction and the name of the service destroying the records.  At Neighborhood Parcel we believe that whenever possible, a business should have full documentation of the circumstances and decision-making process in the event that issues arise later.

 

OMG! Moldy Records - Mold from wet paper records is a problem, usually a few days before mold starts, but please act as quickly as possible… don’t wait.  Mold poses a health risk to the business’ employees and customers as well as the document destruction company’s employees handling the records. We suggest wet, mold-laden records be handled with extreme caution.  Certainly do not panic, but make sure to secure and stabilize the room(s) containing the wet records, whether you’re keeping them or not.  Once the source of any water has subsided to safe levels, reduce humidity and increase air circulation to reduce the spread of mold. The worst option is doing nothing. There are many potential problems leaving soaked records around to dry on their own. As far as restoration, the most effective way to restore water damaged documents is through 'true' freeze drying using a technigue called sublimation. Sublimation changes the frozen water in the documents (ice) to a vapor, bypassing the liquid state. This method also reduces the stains and odors the documents may have obtained. This can be a costly method of recovering your documents, but for non replaceable items it is usually worth the expense and the most effective solution.

Can I do this restoration myself - Yes, you can… especially if you have a small amount of wet boxes. First, make sure to remove all the paper documents out of the wet cardboard boxes.  Becareful picking up the wet boxes… not only are they heavy due to the wetness, but typically the bottoms will fall out.  Trash the boxes as they will no longer be good, even after they dry out. Next, you should remove all paper clips, metal fasteners and binders to help prevent any rust from forming.  Spread out the files on absorbent material that will remove moisture, and keep constant air flowing over the paper.  Turn the pages over every once in a while to assure even drying.  Once completely dry, rebox the documents into new dry cardboard boxes.

 

Our Recommendations - If you have a legal obligation to securely destroy confidential files such as patient records or credit reports, that obligation will still apply to you, even if the records got wet.  The laws regarding secure destruction do not get relaxed or lifted after a natural disaster.  We recommend that you proactively notify any relevant government agencies by Certified Mail of the need to destroy flood damaged records and if you have any questions, please consult your attorney for legal guidance about destroying records before their scheduled time.

We can all agree that storing your old documents and financial records in attics or basements is a risky proposition.  We realize that for economic and other space management reasons some companies and area residents cross their fingers and do just that. Well sadly and unfortunately for many companies their luck may run out with Hurricanes and winter weather conditions that brings in flood.  To be fair, Hurricane Sandy for example flooded places that have never seen water before.

 

What to do with wet boxes -The challenge is determining how and if wet paper records can be restored or disposed of properly. Record retention schedules will indicate what records need to be kept for legal reasons and what other documents need to be kept for business continuity reasons.  Also, it’s not a bad time to add that Disaster Recovery plan why we’re at it! When wet records cannot be salvaged and need to be destroyed, make sure to make a complete inventory of the records along with documentation noting the condition of the records, the date of destruction and the name of the service destroying the records.  At Neighborhood Parcel we believe that whenever possible, a business should have full documentation of the circumstances and decision-making process in the event that issues arise later.

 

OMG! Moldy Records - Mold from wet paper records is a problem, usually a few days before mold starts, but please act as quickly as possible… don’t wait.  Mold poses a health risk to the business’ employees and customers as well as the document destruction company’s employees handling the records. We suggest wet, mold-laden records be handled with extreme caution.  Certainly do not panic, but make sure to secure and stabilize the room(s) containing the wet records, whether you’re keeping them or not.  Once the source of any water has subsided to safe levels, reduce humidity and increase air circulation to reduce the spread of mold. The worst option is doing nothing. There are many potential problems leaving soaked records around to dry on their own. As far as restoration, the most effective way to restore water damaged documents is through 'true' freeze drying using a technigue called sublimation. Sublimation changes the frozen water in the documents (ice) to a vapor, bypassing the liquid state. This method also reduces the stains and odors the documents may have obtained. This can be a costly method of recovering your documents, but for non replaceable items it is usually worth the expense and the most effective solution.

Can I do this restoration myself - Yes, you can… especially if you have a small amount of wet boxes. First, make sure to remove all the paper documents out of the wet cardboard boxes.  Becareful picking up the wet boxes… not only are they heavy due to the wetness, but typically the bottoms will fall out.  Trash the boxes as they will no longer be good, even after they dry out. Next, you should remove all paper clips, metal fasteners and binders to help prevent any rust from forming.  Spread out the files on absorbent material that will remove moisture, and keep constant air flowing over the paper.  Turn the pages over every once in a while to assure even drying.  Once completely dry, rebox the documents into new dry cardboard boxes.

 

Our Recommendations - If you have a legal obligation to securely destroy confidential files such as patient records or credit reports, that obligation will still apply to you, even if the records got wet.  The laws regarding secure destruction do not get relaxed or lifted after a natural disaster.  We recommend that you proactively notify any relevant government agencies by Certified Mail of the need to destroy flood damaged records and if you have any questions, please consult your attorney for legal guidance about destroying records before their scheduled time.
